A to-do list. For some, it simply means “stuff that needs to get done”. But for others, it’s a struggle. Why? Because time management does not come naturally for everyone, and sometimes it can be difficult to accomplish different tasks in a certain period of time, which can lead up to feeling stressed, overwhelmed and less productive. 

But it shouldn’t be a struggle, by any means! Managing your tasks can be simple and we’re here to show you. A task list should be an aid for your team, it provides an easy way to keep a schedule of work that needs to be completed, and it gives visibility to the progress of your work.

How to Use Your Free Task List Template

Are you ready to get started? First, make sure to download our free task list template for Google Sheets. We’ve already completed the hard, tedious work, so you can focus on customizing your own set of tasks.

Add Your Own Tasks

In order to add your own tasks, locate the Tasks column and simply enter a new name for your tasks. Make sure they easily describe the work that needs to be completed. You can add as many tasks as you need to complete on a particular day of the week.

Track the Progress

You’ve created your tasks, now you need to check the status of the work. Locate the Progress column and assign a percentage to each task, according to the progress. Each person should be responsible for tracking their own progress, this way, the whole team will be informed at all times. 

Assigning Task to Your Team

Everyone should do their part and so each task will be assigned to the rightful owner. Head over to the Assigned to column and enter the name of the person of your team that should be responsible for completing the task. 

Track the Time Spent

Tracking the time spent on each task is important when checking the results of your project. In order to enter information related to the time spent (estimated and actual hours) on a particular task, as well as the budget (estimated and actual cost), head over to the Estimated Hours and  Estimated Cost columns and edit the information. 

How to Customize your Free Task List Template

There are many ways in which you can edit and customize our template. First, head over to File, Make a copy option and give it a name that fits your project. In case you feel like adding your own logo, head over to our Instagantt logo, right-click on it, and proceed to insert your own from your images. 

Need to add more columns? Not a problem. In case you would need to add a new column, let’s say, a Due Date column, head over to Insert > Columns, and a new column will be added next to the column you are currently selecting. If it’s adding rows you need, you can do a very similar exercise by heading over to Insert > Rows. By doing this, a new row will be added above or below the cell you’re currently selecting. 

In case you need to delete columns or rows, you can accomplish this by following a few steps. In order to get rid of an existing row, click on the row you need to remove, head over to Edit > Delete, and choose Entire Row. If you’re looking for a simpler to-do list and feel like deleting a few extra columns, click on the column you want to remove, head over to Edit > Delete, and choose Entire Column.

Printing Your Task List 

You might find this template so useful you will want to print it. If so, let’s set the print area first. Highlight the cells you wish to print (in this case, the whole sheet), click Ctrl + P or Command + P. Then, at the top, in Print options, choose Selected cells. This will only print the highlighted section of the current sheet.

Create a Project in Instagantt

Once you’ve created an account, click on + New Workbook, and give it a name. You can begin by selecting Example Project on your menu, this is a great way to get the hang on the basic stuff. Continue by clicking on + New Project and entering a title. 

Add Information

Your new project will now appear on the menu and you can start adding your tasks and subtasks and also scheduling them. You can follow by assigning tasks and comments to different team members, or even start managing your budget straight away by entering estimated hours and costs. 

 Creating New Tasks

In order to add more tasks to your project, head over to your project and click the + Add task button. You will then be prompted you create a new task.

You can also create new subtasks. To do this, you must first select the parent task. On the task view, you will be able to create as many subtasks as you need. It’s that simple. 

Changing Task Colors

You can choose to change the color of your tasks. Let’s say you wish to assign the same color to each task assigned to a specific team member. In order to do this, hover over the task, and choose Color from the menu. Select a new color by clicking on the colored square that appears on the menu. Repeat this for each task.
